Warehouse staff: closing shift gaps before the dock stands still

21:40. The night shift starts at 22:00, two pickers have cancelled, and the dock has to be clear by 05:00. The shift lead could now call forty numbers – or start a call run that does it in parallel while they hand over the shift.

Peaks are announced, absences are not

Logistics lives with two kinds of gaps. One is plannable: seasonal peaks, promotion weeks, stocktaking, year-end business. The other lands mid-shift – illness, an accident on the way to work, a last-minute cancellation. Both end in the same question: who from the pool can step in, and fast enough?

What makes this industry different is the shift model. Knowing somebody would have time «tomorrow» is not enough. You need the answer to: early, late or night? From exactly when? How many days in a row? And is the person even allowed to work if they have just come off a shift?

What a logistics call run should ask

  • Shift window: early, late or night shift, exact start time, number of days
  • Certificates: forklift licence and category, pallet truck, reach truck, C or CE licence, ADR, valid driver card
  • Rest period: when the last shift ended – the basis for whether someone may be scheduled at all
  • Area: goods-in, picking, dispatch, chilled or frozen area, returns
  • System knowledge: experience with your warehouse management system, scanner handling, pick-by-voice
  • Travel: decisive for night shifts – own vehicle or public transport at that hour

The night shift effect: people who work nights sleep during the day. A call at 11:00 reaches them at the worst possible moment. With calling windows stored per person, the agent calls everyone when it suits them – something that regularly gets lost in a manual search under time pressure.

From the confirmation straight into shift planning

A confirmation on the phone is only half the job. It gets interesting when it lands where the planning happens without anyone retyping it. Against that stands an under-staffed shift: delayed loading, overtime for the people present and, in the worst case, a missed slot at the customer.

The legal side, briefly

You are calling people from your own pool who gave you their number for assignment requests. Put purpose and consent in the sign-up form, define a calling window per person and implement opt-out consistently. Call data is processed on Swiss servers, ISO/IEC 27001:2022 certified and revFADP compliant – if needed on-premise in your own infrastructure.

Frequently asked questions

Can the agent also call in the evening and at night?

You define the window. For late and night shift pools, calls until 21:00 are common, for the early shift from 06:00. People who only want to be called during the day store that in their profile – the agent keeps to it automatically.

Does the agent check forklift or driving licences?

It asks specifically and captures the answer in a structured way – forklift category, C or CE licence, ADR certificate or driver card including validity. Checking the documents themselves stays with you; the agent makes sure the right people are on the phone in the first place.

How does it handle rest periods?

It asks when the last shift ended and flags people whose rest period would be too short. You immediately see who can be scheduled at all, instead of noticing it when the roster is built.

Is it useful for planned peaks rather than absences?

Yes, and particularly so. Before seasonal peaks you run an availability campaign across the whole pool: who can work in November and on which days? The result is a planning basis instead of a hope.
