Friday, 15:40. The banquet for 120 guests starts at 18:00 and two people from service have called in sick. You have a pool of extras with sixty numbers – but you are in the middle of mise en place. An AI phone agent works through the pool while you keep working.
The pool of extras is large – and silent when it matters
In hospitality the contact list is rarely the problem: students, seasonal staff from last winter, former employees, people from the neighbourhood who happily do a few evenings. The problem is the time of day when you need them. Between 15:00 and 17:00 nobody in a venue has time to make sixty calls – and that is exactly when it is decided whether the evening works.
There is also a channel problem: a large part of this pool does not pick up when an unknown number calls. A second wave therefore belongs to every search – a text message with a clear question and a callback number to everyone who did not answer.
What has to be clear on a hospitality call
- Time window: start time and a realistic end – «until the banquet is done» is not enough, give a time
- Role: service, banquet, buffet, back of house, kitchen help, bar – with or without experience
- Dress code: black trousers, white shirt, closed shoes – said on the call, not assumed
- Languages: German, French, Italian or English with the guest
- Age: relevant for serving alcohol and for jobs that finish late
- Pay: hourly rate and whether meals and late premium are included
State the hourly rate on the call. It sounds trivial but it saves half the follow-up questions – and stops someone confirming and dropping out two hours later because the terms did not fit after all. The collective agreement gives you the frame; the agent simply states what you have stored.

Keep the pool alive – do not only call it in an emergency
A pool of extras decays faster than any other contact list. Students graduate, seasonal staff move on, numbers change. Anyone who only calls in an emergency is calling an emergency list that is half out of date.
A regular maintenance run is therefore worth it: once a quarter or before the season starts, through the whole pool, with three questions – are you still in, on which weekdays, in which role. It runs in the background, costs a few francs and keeps the list current for when it matters.

Is there enough time if the drop-out only becomes known in the afternoon?
Usually yes. The agent calls up to 20 numbers at once; a pool of 60 extras is covered in a good ten minutes. Anyone who does not pick up automatically gets a text with a callback number – in an industry with many students that is often the more effective channel.
Can the agent also clarify tips, dress code and finishing time?
Yes. Everything you store in the briefing is asked or stated on the call: start time, expected end, clothing, type of work, hourly rate. That prevents discussions at the door when somebody turns up in trainers for a banquet.
Does it also work for recurring seasonal planning?
Very well. Before the season starts, an availability run goes through the whole pool: who is in this winter, on which days, in which role? The result is a current planning list instead of last year's address book.
What happens if somebody confirms and then does not show up?
The agent can run a confirmation round – for example a short call or text two hours before the start. Anyone cancelling then automatically triggers a replacement run while there is still time.
